What a CRM engagement covers.

Not every engagement includes all of this. It is the full surface we work across, and the checklist we use to find gaps in an existing setup.

  • Pipeline and process design

    Stages that describe what has actually happened, exit criteria that are objective, and a definition of a qualified opportunity everyone agrees on. Most CRM reporting problems start here.

  • Data model and record structure

    Accounts, contacts, sites, opportunities, quotes and jobs modelled the way your business really works - including multi-site customers and repeat service relationships.

  • Follow-up and sales automation

    Task creation, reminders, sequences and handover rules so nothing depends on someone remembering. Automation supports the rep; it does not replace the conversation.

  • Quoting and handover to delivery

    A clean boundary between winning work and delivering it, so operations receive complete information instead of a phone call and a forwarded email.

  • Reporting leaders will trust

    Pipeline coverage, conversion by stage, source performance and ageing - defined once, calculated consistently, and reconciled against finance where relevant.

  • Migration and data cleanup

    Deduplication, field mapping, history retention and a documented cutover. We migrate what has value and archive what does not.

Adoption

Most CRM projects fail on adoption, not features.

The licence is rarely the problem. The problem is a system that asks for effort and returns nothing to the person entering the data.

    Target pipeline, data model, automation rules, permissions and integration points documented and signed off before configuration.

    Build

    Configuration in a controlled environment, with integrations to marketing, finance or ERP built against agreed field mappings.

    Migrate

    Trial migration, reconciliation against source counts, cleanup pass, then final cutover with a rollback position.

    Adopt

    Role-based training, written process guides and an early support window while habits form.

    Optimise

    Review usage and exceptions after the first full cycle, then tune stages, automation and reporting.

Which CRM, and where the boundary sits.

  • GoHighLevel - attract and convert

    Strong where the job is capturing demand, nurturing it and booking appointments at volume. Best treated as the front of the funnel, not the system of record for delivery.

  • Zoho - manage and automate

    Suits businesses that need CRM plus connected service, projects, analytics and workflow under one operating model.

  • Odoo - when operations lead

    If the real constraint is inventory, manufacturing or finance, the CRM should sit alongside an ERP rather than try to be one.
