01Product data cleansing is the project
Descriptions, units, supplier codes and interchange references determine whether the system is faster than the person it replaced.
02Do not assume one automotive model fits
A parts distributor, a workshop and a dealership-adjacent business have genuinely different constraints. The architecture should follow the actual revenue model.
03Counter staff shape adoption
If the new order screen is slower under pressure, staff will revert. Speed at the counter is a design requirement, not a nice-to-have.
04Cut over with a verified stock count
Inventory accuracy on day one sets the credibility of the system for the following year.
Automotive systems questions we are asked most
- What makes automotive parts inventory harder than general inventory?
- Fitment and supersession. A part must be findable by vehicle application, and replacement chains have to resolve to what is actually stocked today across branches. Add kits, cores, supplier price files and multi-branch transfers, and data quality becomes the project - the software selection is the smaller half of the work.
- We do both parts sales and workshop work. Should that be one system?
- One stock and financial truth, yes. One user experience, not necessarily. Counter selling and workshop scheduling are different processes, and forcing them into a single interface usually degrades both. The important thing is that both consume the same inventory and produce the same margin data.
- How do we deal with supersessions and interchange data?
- It has to be modelled in the product master rather than held in staff knowledge, with a maintained process for importing supplier updates. Without that, availability answers depend on who is at the counter.
- Can we sell online without breaking counter availability?
- Yes, provided the online channel reads from the same allocation logic rather than holding its own stock figure. Channels that maintain a separate stock number recreate the problem you were solving.
- Our franchise or manufacturer system cannot be replaced. Is anything possible?
- Usually a substantial amount. Customer communication, bookings, marketing, reporting and document workflow can typically sit around a mandated core, subject to what that system exposes. We would confirm available integration options during discovery.
- What normally delivers the fastest return?
- For distributors, trade order capture. For workshops, booking and reminder automation combined with parts-aware scheduling. Neither requires replacing the core system first.
